Menas HOA Management provides the following comprehensive management services to assist both Board Members and Homeowners.
HOA Web Portal:
Menas HOA Management’s web portal is one of the most advanced web portals in the HOA industry. Board of directors will have access to detailed reports through the web portal. In addition, the web portal provides the following:
- The ability for homeowners to update their contact information.
- Homeowners can view past payments and their account balance.
- Interactive web modules for residents, Community Managers and Board Members to interact and communicate.
- Board members can view the status of all work orders and all violations.
- Complimentary, unlimited e-mail blasts.
Maintenance Department:
Menas HOA Management’s Maintenance Department works hand-in-hand with your community manager to solve common area maintenance concerns. Homeowners can submit maintenance requests online through our integrated Appfolio system, via the Menas HOA Management website, by phone or via email at maintenance@menas.com. All maintenance requests will be responded to within 24 hours.
After Hours Emergency Issues:
Menas HOA Management is available 24 hours a day to handle any emergency issues that occur outside of normal business hours. Each Community Manager completes an extensive training program to understand and respond to emergency calls accordingly. Menas HOA Management contracts with a professionally trained and licensed third-party answering service who works directly with the on-call manager.
Property Site Visits:
As your community management company, Menas HOA Management will arrange to meet landscape and maintenance personnel regularly to confirm that work has been completed and discuss any new items to be addressed. Menas HOA Management’s property site visits are thorough and comprehensive. These site visit reports are provided to our Maintenance Department and the landscaping company where Work Orders are generated and included in each board package.
Action Lists:
Your Community Manager will diligently address all action items approved at board meetings. Although Board Members will see what action has taken place from month to month in their Board packages, regular communication occurs between our staff and the board throughout the month.
Compliance:
All compliance reports are generated and monitored through our web portal. At the direction of the Board, Menas HOA Management will create and send friendly reminder notices, violation, hearing and fine letters.
Bid Management:
Your Community Manager will obtain up to three proposals/bids for all large projects over the contracted disbursement amount. Menas HOA Management utilizes our web portal to track and verify that all vendors working on the Association’s property hold current certificates of liability and workers compensation insurance.
Personalized Community Websites:
Menas HOA Management can create and maintain a professional website for your community that includes the following:
- Events calendars
- Online message boards
- Resident directories
- Photo albums
- Email blast capabilities.
Board Packages:
Management provides a detailed and customized package tailored to your community for each Board meeting. Board packages include, but are not limited to:
- Agenda
- Management Summary
- Minutes
- Monthly financials reports
- Action lists
- Site visit reports
- Compliance reports
- Work order maintenance reports
- Homeowner correspondence and all new and unfinished business
Newsletters/Notices:
To facilitate effective communication, Boards may request newsletters and notices to be created by Management.
Insurance Claims:
Although it is our goal to prevent insurance claims from being tendered, our Community Managers have extensive training in working with insurance agents regarding your claims.
